Privacy Policy for The Johnson Society of London

From 25 May, 2018, the Johnson Society of London (the “Society”) is obliged to publish a clear statement of its approach to the management of the data relating to those members resident within the European Economic Area. This is required as a result of the General Data Protection Regulation (GPDR) introduced by the European Union which applies to all organisations.

The information that we hold

The Society holds the following information about members and about other historical or commercial organisations with which it deals. This includes

  • Information such as name, address, telephone numbers and email addresses;
  • Information that records the subscription payments by members over the full period of the individual’s membership of the Society;
  • Any donations made by a member to the Society;
  • Information specifying the way a member’s account is managed by us, such as whether the member has opted to receive broadcast emails from the Society.

This information may be submitted by a member through the Society’s website, or input by us manually.

We also hold this detail for members without email addresses or access to the internet.

We use this information to:

  • Send out our main publication, the New Rambler, and the New Idler. To do this, we share member’s address details with a printing agency for a short time. This shared information is deleted by the printer after use.
  • Help manage the member’s account
  • Maintain normal contact with members by email and/or post.
  • Send mass-mailing emails to all members

Who will we share it with?

We will make members’ personal address details available:

  • To any member of our committee
  • To printing agencies, to develop mass-mailing, addressed envelopes, explicitly for the postal mailing of our journals (the New Rambler and the New Idler), the Society’s annual programme, and other mailings to members that may be necessary from time to time.

Rights

Members have a right to access the personal data we hold about them or to obtain a copy of it. To do this, members should access their Profile page after logging into the Society’s web site.

Members without access to the internet can request a copy of the information held about them by writing to the Hon. Treasurer & Membership Secretary.

What we will not do

  • We won’t share identifiable personal data with third parties for their direct marketing unless you give us permission
  • We will only keep members’ personal information for only as long as we need to. We’ll then delete it securely and safely

Where your data are stored

The data we collect from you may be transferred to and stored somewhere outside the European Economic Area (“EEA”). They may also be processed by staff outside the EEA who work for us or one of our suppliers.

Changes to this policy

Any material changes we make to our privacy notice in the future will be posted on this page and, if appropriate, sent to members by email.
